1. I can't log on to email in chclc.org. Any ideas?

We are advising users to log on using the address http://mail.chclc.org.  When the page comes up, click on the words "Click here to log on".  Also be sure you are not confusing the URL with the district portal and address of www.chclc.org  There is no WWW in our address.  These are two different machines and systems and your log-on and password will not work on the latter.

Be sure you are following the log on directions for the correct browser.  If you are using Internet Explorer it must be a version at least 5.5 or higher.  If you a have XP and Internet Explorer, you will receive a log on box with two fields for information.  At that point you need to follow the directions given for XP. (User Name: JDoe@chclc.org. Password: 12345) If you are using an older operating system with Internet Explorer, you will receive a log on box with three fields for information.  You should follow the directions for Internet Explorer. ( UserName  JDoe, Password: 12345, Domain: chclc)  If you are using Netscape  you will receive a log on box with two fields for information.  You should then follow the directions given for Netscape  (UserName: chclc/JDoe, Password: 12345)If you are using AOL you need to follow the procedure listed below.

2. How do I get an account?

All new hires will receive an account automatically, once your information has been processed through Human Resources.  Once that information is in place an account will be issued and a confirmation letter will be sent to your school via inter-office mail.

3. Should we download the Plus Pack onto our home computers? What does the Plus Pack Include? How much space does it take?

Yes you should but you don't have to. What the Plus Pack does is install, the logoff option, and the spell check, thesaurus and/or attachment compression. Once you have completed the download you should complete the process by going to "Options." In the Options window, scroll down until you see "Plus Pack" then click "set up" and select the pieces you want. You don't have to download all of it.   You can pick and chose.   If you download the spell check, be sure to select the language you want. Each is a separate download so it will ask you if you want to download for each selection, click "Yes"...some people think they've done something wrong because it appears that the download keeps coming back.  As for size I don’t think it takes very much space.  Remember to download the Plus Pack for each machine that you use to read email, as it is the only part of the email system that resides on your machines.

4. How do I make an address book with Email Addresses?

They are called Contacts.  Go to the button at the top left that says "new" and click on the down arrow associated with it.  There you will see "Contacts" Click on the word “Contacts” and a window for creating a contact is there.  You can fill as much or as little as you desire.  We recommend you at least fill in the fields titled “Display Name” and “Email Address” on the center right side of the window.  Be sure to click on the button “Save and Close” at the top left corner when you complete that contact.

5. How can I find out if I have the correct password?

There is no way that your password can be seen by the data coordinator or systems manager.  Our records only indicate the temporary password that was assigned.  If you have changed your password and have forgotten, please contact Rich Gromen with your request and he can reset it to the original temporary password.

6.  Can I set up chclc as a POP 3 or IMAP4?

If you use it as a pop3 server you will not be able to maintain your Calendar option nor will you be able to send mail as we do not allow for mail relay.  You will also most likely download the mail off the server.  You can go with the IMAP4 option that will keep the mail on the server but then again calendars and sending email are not supported.  For the calendar option to work, you must be using the Exchange Client with Outlook or Outlook Web Access.  We are not recommending that pop3 or imap4 be used.

7. When I use the Global address list, the names listed appear to be out of order.  Many names do not even appear to be listed. This list is the "Top".  Only when I click on the individual letter is the list in alphabetical order.  What did I do wrong?

The top of the list has been a problem from the beginning.  We are trying to work it out. The TOP is listing the names in ABC order by first name. The Global list is set to only show the first 100 names on a list.  This is for management reasons.  As you look for names we urge you qualify the search to facilitate your needs.

8. I am able to log onto chclc email but the log in isn’t as smooth as was demonstrated.  What could be the problem?

The problem most likely lies with the version of the browser you are using.  Be sure to have your technician upgrade your browser to Internet Explorer 6.0 or higher. Internet Explorer is the recommended browser.

9. My email screen does not allow me enough space to read my emails, and I am not able to read what is on the far right hand side of the email message .What can do to correct this?

If you bring your mouse to the title bar of the screen (the colored one on top) Click, hold down the button, and drag the window over so that it is in the center of your screen. This should do the trick.  Many, many people are having the same problem. Another suggestion is to set your desktop setting to 1024 x 768 pixels. 

10. In the past I have had my mail forwarded to my home email address. Can I continue doing this?

No.  CHCLC does not offer this option.

11. What do I do when my mailbox becomes full?

When your mailbox is full, the System Administrator will send you a message indicating a full mailbox.  At this point you will need to do some “housekeeping”.  To do this, you need to delete unwanted and unnecessary mailings that are stored in the “Sent Items” folder.  These will then be sent to your “Deleted Items” folder.  You will then need to delete, unwanted and unnecessary mail from the “Deleted Items” folder.

12. I tried to use the new e-mail system, however I was not able to get on at home. I keep getting the dialogue box asking for my user name and then, I type in my employee number for the password. It doesn't have a space for domain. What do you think I'm doing wrong?

First of all, do you have the letter I gave you with your log on information and the different ways to log on?  Be sure you are using your first initial, last name.  If you are getting two lines to fill in you are not using Internet Explorer 5.0 or higher.  You may be using either Netscape, AOL or Window XP.  These browsers will display 2 lines for log in.  You need to follow the directions given for these browsers.  If those instructions do not work, then you are probably using an older version of Internet Explorer and need to update your browser.

17. I created my own distribution list.  I noticed that the symbol in front of  a teacher’s name was different.  It looks like a globe.  What does that mean?

The globe means it is an address not listed on our system nor in your personal contacts.  It is an address separate  from either list.

18. I forgot my password.  What should I do?

If you do not remember your password you should contact the technology department @ 856-489-7663.

 19. Do I have to have Internet Explorer to use chclc email?

NO.  You can use Netscape or AOL.  Each browser has a different logon screen.  You will, however, need to follow the log on directions for the browser you are using.  The district is strongly urging that you do use Internet Explorer 6.0 or higher so that you may take advantage of all the features of Outlook Web Access.

20. I am trying to set up folders. I select new and them type in the name of the new folder. Then a dialogue box comes up and asks me to choose a folder. I don't know what to do.

At this point you would need to click in that dialogue box on the location where you want to place your folder.  That is one way to create a folder but it is slightly more involved which is why I suggest you go to the list of folders on your left and find your name under the word Shortcuts.  Right click on your name. A menu should appear.  Select new folder. A window will appear.  Type the name of the folder and click okay.  This should do it.

 22. Is there a way to "highlight" and delete more than one email at a time from the inbox?

If  you want to delete more than one at a time you click on the first one, hold down the shift key, then click on the last one.  It will highlight the entire segment.  Then either click on the X on the tool bar or press the delete key on your keyboard. If you want to delete specific ones you hold the control key and click on the selected emails you want to delete and do one of the above.

23. I want to change my  password.  Can you help me with the "domain" name?:

When you change your password it will ask you to fill out several fields of information.  The domain name is chclc, The account is your first initial, last name (ex. JDoe)  Your old password is the password you used to log on and then the New password should be entered twice to verify. You will then get a window verifying the change.

 24. When I attempt to do a search for an individual in the Global Address list under the letter "C' the list of names end at "CO." Where are all the other names that are further down in the alphabet?

The explanation is that when you click on a letter you see only the first 100 names.  Otherwise it would become very cumbersome and ineffective to use.  What you need to do is when you click on "C,"   above the list you will see the letter C and a blinking line.  If  you qualify your search by adding the second letter the list becomes smaller and more exact.

26. How can I get a copy of the training handouts?

28. I have new staff and changes to my building's accounts.  How do I go about updating and getting them email accounts?

If you have any changes to your staff, either with name changes, these will be automatically updated once the information is processed through Human Resources.

29.Our building is now on the fiber network. How is this going to change our chclc email?

Now that  your building is on the fiber network, the only difference will be the speed of connectivity. Your chclc email should work exactly the same.  Connectivity only affects the speed in which you can connect to the server.

30.Does CHCLC save my outgoing messages?

Yes.  All email sent out is saved in the "Sent Items" folder which appears in the "Folder View."

31.Is there any place in the district where a training will be held? 

Not at this time.  However, if there is a need for more training, please contact your administrator who can make the necessary arrangements.

32.How do I delete a distribution list that I no longer need?

To delete a list, click on the folder on the left that says "Contacts"   Find the list you want to delete, click once on it and then click on the X on the toolbar to delete it

33. Is there a special format for entering names in the "To" field to send an email. 

No, there is no special format.  However, If you type their name or part of their name you can click on the icon on the tool bar that is "a head and check mark."  That tool will search through the system to find a match.  It will also search through any personal contacts you may have added in your "Contacts" list. Using this tool will assure you that you have the correct person's address.

34. My name is misspelled.  What should I do?

Please contact Rich Gromen to make the necessary changes.

35. Today when I opened chclc, my mail was not in date order.  What did I do wrong?

You did nothing wrong.  Often when clicking on a new mail to open it, users will inadvertently click on the grey bar across the top. Sometimes by doing this you can sort your mail by who it is from, what the subject is or when it was received.   By clicking on that bar, you are reordering how your list of mail is viewed. To correct this, go to the very top of your list of email. In the grey area you should see the words "From" "Subject" and "Received"  One of them should have an arrow with it.  My guess you did this when trying to open the top email.  Click on the word "received"  it should sort them by when it was received  arrow down would be most recent on top. Arrow up is oldest email on top.

36. How do I open an attachment?

To open an attachement you need to be sure that the attached file is in a format that is consistent with your machine.  In other words, if the document was done in Word Perfect, You would need Word Perfect on your machine so it can be recognized.  If it is in Works 5.0  Then you would need at least Works 5.0.  If you are sure the document is in a matching/compatible format then these are the steps

37. How do I edit a distribution list?

Once you are in your account.  On the left where all your folders are listed you should be able to find the word "Contacts"    Double click   When your contacts list appears find the list you want to edit.  Double click on it.  The list should open. You can add or delete the names you want....BE SURE to click on the button Save and Close

38. I often have a need to copy something and paste it into an email. One example is a website address.  Is there any way to paste into outlook web access?

Sure, You can either use the key strokes of ctrl c for copy and ctrl v for paste or you can right click and the menu pops up and you should see the  copy and paste options.

 39.I recently got married and changed my last name. How can change my e-mail address to reflect my new name?

It will be automatically updated once the information is processed through Human Resources.

40.As I add new names to my "contact" list, the Chclc system does not alphabetize them for me. The list simply grows as I add names, no alphabetization occurs. What can I do to set up my contacts in alphabetical order?

If your are putting in just the email address then it will alphabetize by that. A couple of things to try.  Be sure to fill in the fields, "Last Name" and "First Name."  Below that you can select how  you want them filed.  Make sure you select the correct way you want them to list, "Last Name, First Name"

41.I would like to know how to save a distribution list on CHCLC onto a diskette.

I'm sorry, but that is not available using Outlook Web Access.  We are encouraging each user to maintain and create distribution lists that best suit their preferences. Directions can be downloaded.

42.I have another name to add to a distribution list that I already created.  How do I edit this list?

To edit a distribution list, you should double click on the word "Contacts" on the left.  Once  you are looking at your Contacts List, double click on the list  you wish to edit. This will cause the list to open. You will notice that "Distribution Lists" are shown with two heads.   Add a name by putting it in the line field below the words "Add to Distribution List." Then click "Add" and then the "Save and Close" button on the top left corner of this window.

43.  I am not getting all of my e-mails, even on our network People think I have gotten a message and I haven't.  I don't know how many others I haven't received.

Often when clicking on a new mail to open it, users will inadvertently click on the grey bar across the top. 44.Lately I have been having a problem with my "inbox". As soon as I read new mail it is deleted from my in box. This is a problem because once I read them, sometimes I need to come back to them later and respond to them. On Friday, an important email was lost (not in deleted files either). Is there something you can do to help me?

What I suggest is that you check in the toolbar (right side)  You should find the word "View" and then a window that should say "Messages."  If it doesn't, you need to pull the menu down (click on the down arrow associated with it) and select the word "Messages" The contents of your "inbox" should appear.

45.  I am connected to AOL and I have been having difficulty logging onto CHCLC at home.  What should I do

There seems to be a problem with AOL and exchange   We are suggesting that once you connect to the internet with AOL, you minimize your screen  by clicking on the button in the top right corner of the window that looks like a minus sign. Then double click on Internet Explorer to launch it.. In the address line type: http://mail.chclc.org  and proceed from there. You should get a two line log in as mentioned above. If you are running Window XP on your machine, you might want to try the log in for XP as explained above in question #1
